Job Purpose

We are seeking a top-notch Executive Assistant to anticipate the needs of and respond to the demands of our Chief Strategist.

This position is an exceptional one, and not for the faint-hearted! We need someone who is able to hit the ground running every day while maintaining a calm and grounded presence, intuitively anticipating and meeting needs, and who possesses that rare combination of creativity and organizational skills. The person must be fast, sharp, responsive, self-motivated, positive, energetic, and on top of every detail! The ideal candidate will maintain an incredible level of organization while working within a continuous whirlwind of activity and change.

Our demanding, exhilarating and fast-paced environment requires flexibility in your schedule, excellent verbal, writing and editing skills, ability to track and manage multiple complex projects at any given time, advanced computer skills, and the capacity to work well under highly demanding and fast-paced circumstances. The demeanor must be one of maintaining composure, a great can-do attitude, an ability to prioritize and re-prioritize while being fully present. The EA will interface with all levels of management and staff, vendors, clients and VIPs, and must maintain a strong sense of confidentiality, while presenting to others complete professionalism, reflected both in appearance and business savvy.

Key Responsibilities

  • Managing and responding to emails and other correspondence
  • Screening phone calls, and interfacing with management and other personnel
  • Calendar coordination and intense management of schedules covering many time zones
  • Assist with technology systems to ensure uninterrupted flow of communications, including excellent skills in outlook, sharepoint, excel, powerpoint, and image software
  • Executing research projects, and other data collection as needed
  • Managing, tracking, categorizing and reporting expenses to accounting
  • Planning, coordination, execution and attendance of live events
  • Making flight arrangements, arranging travel itineraries, and occasional travel with executive(s)
  • Some personal business activities required to ensure smooth and uninterrupted workflow for executive(s) while maintaining confidence
  • All tasks executed with exceptional and keen attention to details
  • Anticipating future needs of the executive(s), while also responding to immediate situations as they arise, by being fully present and focused at all times

Requirements (in addition to those listed above)

  • A strong resume with recent and preferably long-term professional experience, particularly in support to Executive Management team
  • A solid educational background, preferably a BA or other applicable degrees, certifications or studies (Or equivalent work experience)
  • Portfolio or examples of written or published material as evidence of writing skills
  • Experience working in remote and office environments
  • Ability to maintain flexible working hours, with very demanding schedules that can shift with little or no notice, and be comfortable in a constantly evolving environment of rapid growth, and excitement
